AI-powered CRM: what Copilot brings to Dynamics 365 Sales

Tuesday, 8:40 a.m. The sales manager has a 9:00 meeting with a client she hasn't seen since March. She opens the opportunity in the CRM and finds eleven activities, three unread emails and a note that just says "call". She asks Copilot for a summary. Copilot hands back a well-written paragraph with exactly what was already wrong: a stage nobody updated and a deal amount from six months ago.

An AI-powered CRM can take a lot of context-gathering off a sales team's plate: reading the history, summarizing it, prepping meetings, drafting the first email. But the AI only reads what the CRM holds. So it's worth looking at what Copilot in Dynamics 365 Sales does today according to Microsoft's documentation, which license includes it, how it gets turned on and, above all, which data you need to clean up before asking it for anything.

If you're still choosing a platform, we covered the criteria in Enterprise CRM software: how to choose one people will use. And if your team still lives in spreadsheets, start with Customer management CRM: from Excel to a measurable process.

What Copilot does inside Dynamics 365 Sales

The Copilot in Dynamics 365 Sales overview on Microsoft Learn (updated October 2026) lists these built-in capabilities:

CapabilityWhat you getWhere it shows up
Record summariesA summary of the key information on leads, opportunities and accountsPicking up an account again or inheriting a portfolio
Embedded summariesA summary widget on the opportunity form and a lead summary after qualificationDay-to-day work, without opening the Copilot pane
Recent changesWhat was updated on sales recordsMonday morning pipeline review
Meeting preparationThe relevant opportunity information for an upcoming meetingBefore a visit or call
Email assistanceDrafting emails and summarizing email threads into customer notesFollow-ups and replies to quotes
Document assistanceRecommendations and answers based on documents stored in SharePointProposals, data sheets, standard contracts
NewsA summary of recent news about customers and prospectsBefore reaching out to an account

One limit to understand from day one: Copilot only works with the records and files the person asking already has access to. It doesn't see more than the seller does. If CRM permissions are poorly set, the AI inherits the problem both ways. It either shows what it shouldn't, or can't find what it needs.

Beyond Copilot, Microsoft is adding sales agents. The Sales Qualification Agent, for example, researches leads, checks whether they fit your ideal customer profile and drafts the first outreach email. It can run in research-only mode, or also engage leads and hand the interested ones to a seller. It comes with its own requirements, covered below.

Which license includes it

There's more confusion here than there needs to be. According to the Dynamics 365 Sales pricing page, checked in October 2026, the plans look like this (US dollar list prices, per user per month, paid yearly):

PlanList priceCopilot capabilitiesCopilot Credits
Sales ProfessionalUSD 65NoNo
Sales EnterpriseUSD 105YesNo
Sales PremiumUSD 150Yes1,000 per user per month

Before you run the numbers:

  • The Copilot capabilities in the table above come with Sales Enterprise and Premium. They aren't a separate add-on for those plans.
  • Agents are a different story. To configure the Sales Qualification Agent, Microsoft Learn requires a Copilot Studio license, and the pricing page says Copilot Credits are included in Premium and can be bought separately otherwise.
  • List prices change, and in Chile they depend on the channel and the contract. Use them to compare plans, not as a quote.

If your company is on Sales Professional and AI is the reason to move up, do the full math: the per-user difference times the whole team, over the whole contract. Sometimes it makes more sense to upgrade only part of the team.

How to turn it on (and why it sometimes doesn't appear)

The guide to setting up Copilot in Dynamics 365 Sales says it's on by default for organizations in regions with an available Azure OpenAI endpoint. Everyone else needs an admin to consent to cross-region data movement in the Power Platform admin center before switching it on. Microsoft even recommends enabling that data movement as a fallback in regions that do have an endpoint, in case of a regional outage.

The rest of what an admin should check:

  1. Confirm in Microsoft's availability report that your environment's region and language are supported.
  2. Make sure your data loss prevention (DLP) policies allow the connectors Copilot needs.
  3. Decide which Entra ID groups get access, instead of opening it to everyone at once.
  4. In Sales Hub, go to App Settings > Copilot and turn on auditing for the lead, opportunity and account tables. Without audit history, the recent changes feature has nothing to show.

For Chilean companies, cross-region data movement isn't just a technical checkbox. It's a decision about where your customers' data gets processed, and with Law 21.719 on the way, it should be documented and approved by the right people, not switched on by default from IT.

What data to clean up before expecting anything from the AI

Back to the opening scene. The summary wasn't badly written; it was well written about bad data. That's what we see most in AI-powered CRM projects, and a more expensive license doesn't fix it. Before turning Copilot on for the whole team, check these:

  • Stages with exit criteria. If every seller moves an opportunity whenever they feel like it, summaries and meeting prep will repeat that ambiguity.
  • Current amounts and close dates. An opportunity whose close date passed three months ago skews any prioritization.
  • Emails linked to the record, not just sitting in Outlook. Email assistance and summaries depend on it. For the Sales Qualification Agent, Microsoft also requires server-side synchronization with Exchange; without it, the agent won't generate outreach emails.
  • Duplicates resolved. Two accounts for the same company mean two half-histories and two incomplete summaries.
  • A tidy SharePoint. Document assistance answers with whatever it finds, and if five versions of the same proposal coexist, it may quote the wrong one.
  • Permissions reviewed. Since Copilot respects each user's access, this is a good moment to confirm every role sees what it should.

None of this is new. It's what makes a CRM for sales teams work without AI, too. What changes is where the dirty data ends up. It used to sit in a report three people read; now it shows up in the summary a seller reads five minutes before walking into a meeting.

Where to start

For a mid-sized company, this is the order that has worked for us:

  1. Data assessment: measure duplicates, opportunities with no activity and stages without criteria, and fix what's critical.
  2. A pilot with a small team, five to ten sellers, with Copilot enabled only for their Entra ID group. Measure how long meeting prep takes and how useful the notes are.
  3. Process adjustments. Whatever the pilot reveals about the data gets fixed in how people work, not just in the system.
  4. Rollout to the rest of the team and a look at agents. Only once the data is reliable does it make sense to evaluate the Sales Qualification Agent and the cost of Copilot Studio and credits.

Frequently asked questions

Does Copilot in Dynamics 365 Sales cost extra?

Not for the built-in Copilot capabilities, if you have Sales Enterprise or Premium. Sales Professional doesn't include them. Agents such as the Sales Qualification Agent require a Copilot Studio license and consume Copilot Credits.

Can Copilot see information the seller isn't allowed to see?

No. According to Microsoft, Copilot only retrieves records and files the user already has access to. That's why reviewing permissions is part of the project.

Does it work in Spanish?

Copilot responds in the user's preferred interface language when that language is supported, and Spanish is among the languages Microsoft lists. Still, check the availability report for your environment's region and language combination.
